Running check-in at the door

Scan guests in from any phone, split arrivals across multiple sessions, and keep a live count.

No app, no hardware

Check-in runs in a normal mobile browser tab and uses the phone's own camera, so there's nothing to install and no dedicated scanner to buy. Open your event → Check-in on any phone and it's ready. Give the same page to a second or third phone and they all scan into the same event at once; every scan syncs live across every device with that page open, so nobody double-checks-in a guest by accident.

Sessions: one event, several checkpoints

Every event has at least one check-in session: a plain “General” one exists by default. If your event has more than one checkpoint that matters separately (a two-day conference, a morning workshop and an evening dinner, a registration desk and a separate VIP entrance), create additional sessions from Check-in → Sessions. Each session keeps its own attendance list, and you choose which session to check into from a dropdown at the top of the scanner.

Tip

You can cap a session at a fixed capacity, useful for a workshop slot with limited seats. Once it's full, the scanner tells the staff member on duty rather than letting them wave someone in anyway.

Scanning a guest in

    Open the check-in page and pick a session

    If your event only has the default session, this is already selected.

    Point the camera at the guest's QR code

    Their code is on the confirmation email they received at registration, or on their phone if they pulled it up from the “view my ticket” link. The scanner reads it instantly and shows their name and registration details before anything is recorded.

    Fill in any check-in questions, then confirm

    If the session has its own custom fields (a table number, a meal choice collected at the door rather than at registration), answer them here. A required field has to be filled before you can confirm.

    Confirm the check-in

    The attendee is marked checked-in immediately, the running count updates on every open scanner, and the record shows which staff member checked them in, handy later if there's ever a dispute about who let someone through.

No QR code on hand? Check in manually

The check-in page also has a manual lookup: search by name or email and check someone in directly, for the guest who deleted the confirmation email or whose phone died at the door. It goes through the same required-field and capacity checks as a QR scan.

Everything you'd want to know after the fact

  • Attendee detail panel: click any attendee in the dashboard to see every session they attended or missed, who checked them in, and any queue tickets or draw wins tied to them.
  • Live count: the dashboard's attendee list and stats page reflect check-ins the moment they happen, no refresh needed.
  • Activity log: every scan and manual check-in is recorded with a timestamp and who performed it.

Before you start

Check-in needs the Check-in module, which is on by default, and either being the event owner or a collaborator with the scan-check-in permission (see the team guide for how to grant that without handing over the whole event).
